Codemind Ltd is the controller for personal information collected through this website. The company is registered in England and Wales under number 15985479. Privacy questions or requests can be sent to [email protected].
Information we collect
When you submit the enquiry form, we collect the name, email address, company, optional phone number, selected enquiry area and message you provide. Please do not include passwords, payment details, health information, identity documents or other sensitive information in the form.
Our hosting and security services may process technical request information such as IP address, browser or device information, requested URL, time and diagnostic events. The contact rate limiter creates a one-way hash from network and email identifiers; the key expires after one hour and is used to prevent repeated submissions.
The explanation-depth preference and selected problem categories are stored in your browser. The free-text description entered into the homepage problem interpreter is processed in the browser and is not saved by Codemind or sent to an AI provider. If you follow a contextual contact link, only the broad categories you selected, such as company size, system types and goal, are added to the contact URL and shown in the form summary; the free-text description is not included.
Why we use the information
- To respond to enquiries and discuss possible work.
- To take steps requested before entering a contract and to manage any resulting business relationship.
- To operate, secure, diagnose and improve the website.
- To prevent abuse and protect the availability of the contact service.
- To comply with legal obligations and establish or defend legal claims where necessary.
Our usual lawful bases are taking steps at your request before a contract, performing a contract, legitimate interests in operating a secure business website and responding to business enquiries, and legal obligation where applicable. We do not use the contact form to add people to an unrelated marketing list.
Who receives information
Contact messages are delivered through Resend, our email delivery provider, to Codemind’s business email. Redis infrastructure processes short-lived hashed rate-limit keys. Our hosting provider processes the requests needed to serve the website. Contact form bodies are not intentionally written to application logs.
Those providers may process information outside the UK. Where international transfers apply, Codemind relies on the provider’s applicable transfer mechanism and contractual safeguards. Current provider terms and locations are reviewed because infrastructure can change.
How long we keep it
Contact correspondence is normally reviewed for deletion 24 months after the last meaningful contact, unless an active project, legal requirement or dispute justifies a different period. Short-lived rate-limit keys expire after one hour. Browser preferences remain on your device until you clear site data. Technical security and request logs follow the documented retention settings of the production hosting configuration and are reviewed for necessity.
Your choices and rights
Depending on the circumstances, you may have rights to be informed, access your personal information, correct it, ask for deletion or restriction, object to processing, and receive portable information. You may also complain to the UK Information Commissioner’s Office. Contact us first if you would like us to review a request.
You can clear the local explanation preference through your browser’s site-data controls. The current website does not use the guide for solely automated decisions that produce legal or similarly significant effects.
Security and changes
We use proportionate technical and organisational measures for the current website and review access, providers and retention as the service changes. No internet service can promise absolute security. Material changes to the website’s processing will be reflected in this notice and its update date.
